Who we are

Eye4Media is located at Newtonlaan 115, 3584 BH Utrecht, the Netherlands, and is registered with the Dutch Chamber of Commerce under number 77874579. Privacy questions can be sent to hello@eye4media.nl.

This policy explains which personal data we process when you visit our website, contact us, complete a form, schedule a meeting or work with us.

Data we process

Contact details such as your name, email address, phone number, company name and organisation details.
Project information, including selected services, messages, requirements, briefing information and files or links you provide.
Communication data from email, phone, WhatsApp and scheduled meetings.
Website data such as IP address, browser and device information, visited pages, interactions and technical logs.
Billing and administration data if you become a client.

Why we use your data

To respond to contact, quick-scan, quotation and project requests.
To schedule and conduct introductory meetings.
To prepare quotations and agreements and deliver projects, support and client communication.
To secure, maintain and improve our website.
To measure website visits and campaigns when you consent.
To comply with legal, tax and administrative obligations.

Legal bases

We process data only when a valid legal basis applies. Contact and quotation data is used to take steps at your request before entering into an agreement. Client data is processed to perform an agreement, while certain administrative data is processed to meet legal obligations.

We may rely on legitimate interests for security, basic statistics and service improvement. Analytics and marketing cookies loaded through Google Tag Manager require your prior consent, which you can refuse or withdraw.

Cookies and Google Tag Manager

We use essential cookies and local storage for core features such as remembering your cookie preferences.

With your consent, we use Google Tag Manager (GTM-P46KHCL) to load analytics and marketing tags. Google Tag Manager is not loaded before consent.

Essential: required for core functionality and cookie preferences.
Analytics: measures website use, visited pages and interactions.
Marketing: measures campaigns and advertising effectiveness.

Service providers

We share personal data only when required for our services, legal obligations or website operation. We do not sell personal data.

Google, for consent-based Google Tag Manager, analytics and marketing tags.
Cal.com, when you schedule a meeting through the embedded calendar.
WhatsApp/Meta, when you contact us through WhatsApp.
Hosting, email, administration and project-tool providers used to operate our business.
Professional advisers or public authorities when legally required.

Transfers outside the EEA

Some providers may process data outside the European Economic Area. Where this occurs, we use appropriate safeguards such as an adequacy decision, standard contractual clauses or another legally permitted transfer mechanism.

Retention

Contact and quotation requests are kept as long as needed and then for up to 24 months, unless a client relationship starts.
Project and client data is kept during the relationship and afterwards as reasonably needed for support, evidence and administration.
Invoices and administrative records are generally kept for seven years.
Cookie preferences are kept for up to 12 months or until you delete them.
Technical logs are kept only as long as needed for security, troubleshooting and maintenance.

Security

We take appropriate technical and organisational measures to protect personal data against loss, misuse, unauthorised access and unwanted disclosure. Access is limited to people who need the data for their work.

Your rights

You may request access, correction, deletion, restriction, objection and data portability. Where processing relies on consent, you may withdraw that consent.
